Robert Half Front Desk Coordinator in Grand Rapids Nt, Michigan

Description We are offering a contract to hire employment opportunity for a Front Desk Coordinator in Grand Rapids, Michigan. This role will serve as the first point of contact for our company, providing a warm welcome to visitors and vendors, assisting with HR recruitment efforts, and managing front desk operations. The ideal candidate will have a blend of receptionist duties, full cycle recruiting, and human resources administration skills.

Responsibilities:

• Serve as the first point of contact for the company, warmly greeting all incoming visitors, vendors, and employee family members.

• Manage switchboard operations, efficiently transferring calls to the correct departments as needed.

• Use company software to maximize the effectiveness and efficiency of operations.

• Oversee lobby store inventory and order products and office supplies as needed.

• Prepare the front lobby for opening, maintain it throughout the day, and close it out.

• Assist with shipping and receiving tasks.

• Handle petty cash and gift cards and ensure unauthorized persons do not enter the interior of the company.

• Manage and access schedules for conference rooms.

• Work closely with HR personnel to communicate, schedule, and coordinate all interviews.

• Maintain recruitment open positions documentation and coordinate the company’s onboarding process for new employees.

• Work interdepartmentally across the company to efficiently fill open positions.

• Post new positions on internal and external job boards and operate as tour coordinator.

• Coordinate the Wellness Committee and related events, challenges, and reimbursements for employees.

• Perform other HR duties as needed. Requirements • Experience in a Front Desk Coordinator or similar role

• Knowledge of receptionist duties and medical front office operations

• Familiarity with full cycle recruiting, including recruiting activities, efforts, functions, initiatives, personnel, plans, and processes

• Proficiency in Human Resources Information Systems (HRIS), Human Resources (HR) Administration, and Human Resources Management Systems

• Experience with ADP Online, ADP HRB, and ADP Workforce Now systems

• Ability to answer and manage inbound calls, inquiries, and multi-line phone system professionally

• Proficiency in assisting and directing guests

• Excellent communication and interpersonal skills

• Strong organizational and multitasking abilities

• High level of professionalism and integrity

• Ability to work independently and as part of a team.
