The USC Alumni Association, a department of University Advancement, is seeking an experienced, collaborative, and enterprising professionalManager of Event Operationsto join its team. The position reports to the Director of Signature Events and works closely with the Associate Director and collaborates regularly with a broad USC Alumni Association staff and the University community to coordinate the Salesforce database, data integrity, logistical, and marketing aspects of USCAA events. This includes providing registration guidance and supervision to assigned staff, student workers, and alumni volunteers.

The Manager must be proactive and able to coordinate and oversee cross-functional collaborations. The individual should have the ability to effectively oversee and contribute to various aspects of USCAA events, ensuring seamless execution. Related skills include, database administration, customer service, and event planning.

This is a hybrid position under our current work arrangement plan, with the expectation of on-site presence at our main campus (University Park Campus). The position requires the ability to work a flexible schedule, including early mornings, late evenings and weekends, and to be available to work on a short notice if required. Will include occasional travel and weekend work.

Job Accountabilities

  • Responsible for the day-to-day management of event registrations and related data within the broader USCAA Signature Events portfolio, which includes, but is not limited to, Alumni Awards, the Alumni Leadership Conference, the Volunteer Recognition Dinner, Football Away Game Activities, Alumni Weekend, Homecoming, the Women's Conference, Half Century Trojans Hall of Fame Luncheon and more.

  • Responsible for the management, facilitation and training of the FightOnline event database and registration page builds as well as the coordination of event coding within the USC Events database.

  • In coordination with the Director of Event Operations, manages issues and enhancements that occur in the registration system by creating, testing, and providing solutions to the functionality and design of the platform.

  • Oversees creation and management of listings (event registration pages) including customer service for guest questions, refunds, concerns, etc.

  • Manages onsite event check-in and coordinates staffing needs and pre-event trainings to ensure seamless operations. Represent the department as the first entry point into an event.

  • Responsible for all data entry and data reports as it relates to event registration and attendee participation.

  • Create, present and distribute pre-event registration-related materials such as mailing/emailing lists, participant spreadsheets, name tags, and other event materials; responsible for any and all aspects related to event registration, pre, during and post event.

  • Maintain and develop standard procedures and tools/resources for department use.

  • Coordinates and manage seating meetings for large-scale events.

  • Responsible for tracking and reporting on revenue from event registration.

  • Cross-train on other administrative functions to knowledgeably field questions and perform tasks in colleagues’ absence or in support of colleagues as needed.

  • Maintains currency with relevant technology, standards and best practices. Identifies and implements innovations to streamline, automate or improve existing program management processes including the integration with any third party registration systems such as Whova.

  • Represents University or department at professional meetings, conferences, seminars, and other events. Develops and maintains contacts with University officials and professional colleagues.

  • Coordinates appropriate use of University and department logos, emblems, and indicia.

  • Performs other related duties as assigned or requested. The University reserves the right to add or change responsibilities at any time.

Minimum Qualifications

  • Bachelor’s degree

  • 2 years minimum experience

  • Excellent verbal and written communication skills.

  • Familiarity with features of CRMs/event software and Microsoft Office suite products.

  • Proven track record of overseeing and providing guidance to assigned staff, student workers, and volunteers.

  • Able to work flexible hours, including evenings and weekends to accommodate event schedules.

Preferred Qualifications

  • Experience in higher education.

  • Demonstrated experience and proficiency in managing event registration processes, including but not limited to attendee registration, data management, and ticketing systems.

  • Proven track record of delivering exceptional customer service in a fast-paced environment. Ability to handle inquiries, resolve issues, and provide support to attendees with professionalism.

  • Comfortable using various registration platforms, event management software, and office productivity tools.

  • Must be able to work both behind the scenes and in front of attendees during registration and check-in processes.

The budgeted salary range for this position is$75,000-$81,000.
