The Arc Eastern Connecticut Support Services Assistant (Part-time 20 Hours) in Norwich, Connecticut

Description:

The Assistant to the Deputy Quality Assurance Officer of Support Services is responsible for providing administrative support to the Deputy Quality Assurance Officer Support Services. This position requires effective communication, attention to detail, preparing weekly reports, scheduling meetings, ensuring the successful coordination of projects, and ensuring the progress to deadlines.

Essential Functions:

Camp Essential Functions

  • Support the Deputy QA to recruit employees.

  • Effectively navigate the UltraCamp platform.

  • Manage Camper Registration process, including emails, documents, and questions.

  • Edit all camp documents to reflect current dates and information prior to the season.

  • Creates and schedules training instructors for Camp Counselor Orientation.

  • Upload all records of campers in UltraCamp

  • Manage all uncompleted tasks in UltraCamp

  • Follow up with families and DDS case managers regarding the required paperwork via email or phone.

  • Create physical files of each campers’ documents and deliver to camp for each week’s check-in.

  • Attend weekly roster meetings.

  • Transfer all camper files from Camp to Sachem St end of camp season.

  • Manage end of the season clean up on UltraCamp.

    Off Season Essential Functions

  • Follow up and report on the status of Grants.

  • Support Deputy QA to prepare Program Review Committee (PRC) packets.

  • Schedule monthly Psych Clinic meetings.

  • Update contact information lists for Psychiatrist.

  • Schedule meetings with the behaviorists.

  • Support Deputy QA with scheduling events for the agency.

  • Send blank e-score packets to managers within a timeline for completion.

  • Collaborates with Deputy QA on all information needed for agency Utilization Resource Reviews (URR’s).

    Expectations:

  • Ensures confidentiality as required by law as well as The Arc policies and procedures which includes keeping records, conversations, correspondence (regarding program participants and staff) confidential.

  • Demonstrates a positive work ethic.

  • Is able to work with limited supervision.

  • Has the ability to prioritize tasks.

  • Advocates for and protects participants’ rights in accordance with The Arc policies and procedures.

  • Maintains a mature and positive attitude when dealing with The Arc colleagues, program participants, staff, families, the public and outside representatives.

  • Works with a spirit of cooperation with all departments.

  • Carries out all job responsibilities in a professional manner.

  • Positively promotes the agency and its programs.

  • Attends all agency staff meetings and training sessions.

  • Maintains attendance. Adheres to policies on attendance, days of absence, and illness.

  • Keeps supervisor informed of any significant events or the need to modify any area of the operation/activity.

  • Maintains valid license and insurance on personal vehicle for running agency errands.

    Minimum Qualifications:

  • High school diploma required. Associate’s degree in the business field is preferred.

  • Minimum of 2 years related experience.

  • Advanced skills in Microsoft Office. Familiar with verbal and written communication and network systems. Must have excellent organizational skills and the ability to manage a large area of responsibility. Must have a high degree of clerical speed and accuracy.

  • Must be able to lift a minimum of 50 pounds. In an emergency, he/she will be required to participate in lifts, transfers, and behavioral or physical intervention when necessary. He/She may be exposed to risk of injury or exposure to occupational health hazards.
